Job: Project Co-ordinator

Ffilm Cymru Wales is seeking a Production Co-ordinator to manage the logistics and administration of the recently launched Cinematic scheme, and the training programme that will run alongside it.

Role: Cinematic Project Co-ordinator
Organisation: Ffilm Cymru Wales
Contract: Freelance contract of services
Location: Working from home, Ffilm Cymru Wales’ offices in Llanishen Cardiff and varied meeting places in Wales, as relevant.
Term: October 2016 – October 2017 (est. 2.5 days per week, as needed)
Fee: £15,000 inclusive of VAT, if applicable. Paid in stages against agreed milestones.

Key Responsibilities
  •  The co-ordinator will work with the Ffilm Cymru Production and Special Projects Manager Adam Partridge to supervise the application, and training phases of the scheme.
  •  Management of project submissions – ensuring applications are logged and circulated to the scheme partners for consideration, responding to enquiries (on-line, by phone and email), logging applications, liaising with applicants, arranging timely translation through approved suppliers, distributing to scheme partners.
  • Organise and minute project partner meetings & conference calls throughout the selection and development phases of the project, through to the point that the films have been greenlit.
  •  Arrange interviews and follow up develop meetings, working to an agreed budget including costs of meeting rooms, catering, travel etc.
  •  Managing the delivery of the parallel training programme that has been designed by Ffilm Cymru and is funded by Creative Skillset.  The successful applicant will ensure the programme remains on schedule and budget, arranging logistics (e.g. meetings with project mentors and industry advisors) and liaising with Ffilm Cymru’s finance department to request associated payments.
  •  Providing monthly progress / cost reports for the Production and Special Projects Manager.
  •  Develop opportunities for peer-to-peer support between those engaged with the initiative, encouraging networking such as on-line comms (blogs/Facebook group/twitter contributions) – in liaison with our Communications Officer.
  •  Write a completion report including your own thoughts on opportunities to further refine and improve the programme, and collated feedback from participants and funding partners on the training element of the programme and the development phase of the initiative.

Person Specification
  • A personable and effective communicator.
  • Demonstrable ability to successfully manage schedules and budgets.
  • Keen eye for detail with strong record-keeping, data management and reporting skills.
  • Welsh language desirable but not essential.
